New Real Time RFID Document Tracking from SMARTRAC to Streamline Business

System is suited for intelligent tracking and control of documents

SMARTRAC, document tracking specialist RFIDTraxx and reader manufacturer FEIG Electronic have jointly developed an RFID system for comprehensive document management. The system is suited for intelligent tracking and control of documents.

When managed access to important pieces of paper is essential for business workflow, companies often face major challenges finding proper and reliable solutions. Failing to comply could cause fines, the loss of business, or damage to a business’s reputation.

The new system is based on AssetTraxx software, a web-based SQL Server solution from RFIDTraxx. The software can be customized to specific requirements allowing easy integration into existing systems and automatically tracks all required documents. By using RFID to track documents, customers can perform full audits in minutes instead of days or weeks. Once a document is added to the system, an audit trail is created that shows not only the real time location, but also creates alerts, when its location has changed.

“The ability to locate and verify documents, such as agreements, contracts, deeds, insurance policies, or other official statements that are tagged and stored in a document management system means that companies know at all times where their important documents are located. They can be assured that documents are not lost and are always available at a minute’s notice”, explains Steve Halliday, co-founder and partner at RFIDTraxx LLC.

The system includes a FEIG HF Long Range Reader ID ISC.LR1002 and an antenna supporting the EPC Class-1 HF, ISO 18000-3 Mode3. These components have the ability to detect labels independent of their stack height.

“For many years, file and document tracking applications were executed using FEIG readers in numerous law offices and courts in Germany to map the respective location of files, but much less than today could be accounted at a time. Combining FEIG readers, SMARTRAC 3m3 transponders with AssetTraxx software, excellent anti-collision and high speed bulk reading are achieved”, states Andreas Löw, marketing manager, FEIG Electronic GmbH.

The system is based on a SMARTRAC RFID transponder, which carries all required information. The transponder allows swift identification of stacked items and contains a unique identification number enabling secure and reliable identification of documents.

The big advantage is capacity and speed: data transfer is twice as fast opposed to conventional devices. Interference is no issue: the FEIG reader can read more than two hundred tagged documents in a stack in this application.
